Privacy Policy

Last updated: September 2026

This Privacy Policy explains how Via-U CRM ("we", "us", "our") collects, stores, uses and protects personal information when makeup artists and their clients use our studio management platform.

1. Who we are

Via-U CRM is a software service designed for freelance and bridal makeup artists to manage clients, appointments, trials, documents, invoices and messaging in one place. The platform is operated by Via-U CRM, ABN 12 289 876 610.

2. Information we collect

  • Artist account details: name, business or studio name, email address, phone number, ABN, billing details (BSB/account number) and payment instructions you choose to save.
  • Client details: name, email, phone, Instagram handle, event information, allergies, skin type, service preferences and any notes you add to a client profile.
  • Booking and trial data: appointment dates, services, face-chart selections, product notes, trial photos and status history.
  • Documents and signatures: quotes, invoices, service agreements and e-signature records created within the platform.
  • Communications: messages sent through the in-app messenger, plus any email, SMS, WhatsApp or Instagram details you connect to messaging channels.
  • Security data: one-time sign-in verification codes, login activity, browser type and device information used to protect your account from unauthorised access.
  • Usage data: cookies and similar technologies used to keep you signed in and improve the service (see our Cookie Policy).

3. How we use your information

  • To provide and maintain your studio dashboard, client portal and calendar.
  • To generate and send documents, invoices, quotes and service agreements.
  • To process subscription payments securely through Stripe.
  • To send service notifications, reminders and, where opted in, marketing updates.
  • To support you through our in-app AI assistant and customer support channels.
  • To improve security, prevent fraud and comply with legal obligations.

4. How we share information

We do not sell personal information. We only share data with trusted service providers who help us run the platform, such as our hosting and database provider, payment processor (Stripe), and authentication services. Each provider is contractually bound to keep data secure and use it only for the services they perform for us.

5. Client portal and artist-client relationship

When you invite a client to the client portal, they can view the bookings, documents and messages you choose to share with them. Clients cannot see other artists' data or your private studio settings. You are responsible for the accuracy of the client information you enter.

6. Data security

We use encryption for data in transit, row-level security so each studio can only access its own data, password-free sign-in protected by single-use email verification codes with limited attempts, rate limiting on sensitive actions, and regular access reviews. Uploaded files are validated before storage. While we take these precautions, no online service can guarantee absolute security.

7. Data retention and deletion

We keep your account data for as long as your account is active. If you cancel your subscription, your studio enters a read-only state and is retained so you can resume easily. You can permanently delete your account and associated data from your settings at any time; deletion may take up to 30 days to complete across backups.

8. Your choices

  • Update your studio and profile details from the Settings page.
  • Export client or tax data to CSV or Excel from the relevant pages.
  • Cancel your subscription or delete your account from Settings.
  • Contact us to request access to, correction of, or questions about your data.

9. Changes to this policy

We may update this Privacy Policy as the platform evolves. We will post the revised version here and update the effective date. Continued use of the service after changes means you accept the updated policy.
